HR for SMEs: building a foundation without a big team
Small businesses often run HR out of a founder's head and a few spreadsheets — until it breaks. You don't need a big HR department to get the fundamentals right. You need a few solid foundations that scale as you grow.

1. Get your employee records right first
Everything in HR depends on accurate people data: who works here, their role, department, start date, and pay. Make this your single source of truth and avoid keeping the same person in three different places. When records are clean, payroll, leave, and reporting all get easier.
2. Standardise onboarding and offboarding
A simple, repeatable checklist for new joiners (paperwork, accounts, equipment, first-week plan) and for leavers (access removal, final pay, handover) prevents the small mistakes that create big risks later.
3. Formalise leave
Move leave off WhatsApp and email. Define your leave types and balances, and let employees request and managers approve in one place. You'll avoid disputes and always know who's off.
4. Keep documents in one secure place
Contracts, IDs, and policies scattered across personal devices are a liability. Centralise them with proper access controls so the right people — and only the right people — can see them.
5. Pay people reliably and compliantly
Reliable, correct pay is the foundation of trust. Use a process that calculates pay and statutory deductions consistently, keeps records, and issues payslips — so payday is predictable for you and your team.
6. Give employees self-service
Most of your team lives on their phones. Letting them view payslips, request time off, and submit requests themselves cuts the admin load on whoever runs HR and makes employees feel taken care of.
7. Use tools that grow with you
Start with what you need today and add modules as you scale. The goal is a foundation you won't have to rip out in a year — one platform for people, pay, time, and compliance as the business grows.
